1 Who we are

We are Together Workspace, a coworking and office space provider. Together Workspace Ltd is registered in England and Wales under company number 13219908. Referred to within this document as “Together Workspace Ltd”, “Together Workspace”, “we”, “us”, or “our”. References to “Together Workspace Ltd" include our employees, staff, directors, agents, and any other party or third party working for or on behalf of Together Workspace Ltd.


 

2 Description of Services

Together Workspace provides access to office space, work stations, office equipment, internet, technology, meeting rooms, conference space, and other services as Together Workspace may provide from time to time. These services, their use, or access to these services may be referred to herein as “services”, “subscription”, “product”, or “membership”. The place these services are provided may be referred to as “workspace”, “space”, “premises”, “location”, or “property” which includes but is not limited to the building, space, all contents, furniture, fixtures, fittings, appliances, and any other objects or materials owned by or belonging to Together Workspace.


 

3 Acceptance of Terms

3.1 These Terms and Conditions (the “terms”) describe the rights and obligations in connection with receipt and use of the services provided by Together Workspace. References to “you”, “your” and similar words in these terms refer to the individual or entity registering for any services. By using the services provided by Together Workspace, you are agreeing to abide by and be bound by these terms.

 

3.2 Additional services may be available to you which may be subject to additional terms, conditions, guidelines or rules. Use of or subscription to any additional services is acceptance of such additional terms which are hereby incorporated into these terms by this reference.


 

4 Your Membership

4.1 To use the services, you will have to register a membership with Together Workspace. Once you become a member, you can sign up for services as required.

 

4.2 You agree to provide us with accurate and complete information about yourself when you register, and to keep your information up to date by amending the information held on your account or informing us of any changes.


4.3 Our services are only available to those aged 18 or above. Nobody aged below 18 is permitted to access the space.

5 Using the Services and Membership

5.1 The exact services you will receive as part of your membership will depend on (a) the product or services you have purchased; (b) the services available, which may vary by premises or location; and (c) any additional features or services selected by you which may be subject to additional terms and include additional payment obligations.

 

5.2 Membership or subscription to any services does not create a tenancy but a prepaid usage licence to use or receive the provided services on a time limited or casual basis, depending on the subscriptions you have purchased.

 

5.3 Only registered users with a valid prepaid membership are allowed to access the workspace. Always sign in and out of a location as required.

 

5.4 You must not use the services or any space you reserve or occupy in any location for “retail”, “medical”, or other nature involving frequent use by or visits from members of the public.

 

5.5 Guests are allowed into the space if accompanied by a member, and signed in and out as required. No guests should be allowed to use a workspace unless they sign up as a member and purchase the necessary day pass or subscription.

 

5.6 You must not have mail delivered to any premises, nor use the premises address for any purpose unless you have purchased a Virtual Office or Serviced Office.

 

5.7 Your membership is specific to you. You must not share your membership with anyone else. You must not allow others to use your account credentials or access to a location. Do not reveal your account password, transfer your keycard or other access device or credentials to anyone else. Do not make copies of any keys, keycards, or any other means of access to our premises. You are responsible for maintaining the security and confidentiality of your account and access devices.


 

6 Payments to Together Workspace

6.1 By signing up for a membership, coworking desk, or any other services (including Meeting Room reservations, Virtual Office, or additional services) and providing your payment information, you agree to pay us the recurring or nonrecurring fees associated with the services you are purchasing, as displayed to you at the time you create an account and/or sign up for the relevant services, or as updated by us from time to time upon notice to you.

 

6.2 Full payment is due in advance for all subscriptions, services and products.

 

6.3 You acknowledge and agree that the payment method provided by you will be automatically charged the fees and any other amounts you may incur or be liable for (including any damages caused to any of our premises or property) in connection with the services.

 

6.4 You must keep your billing and payment information up to date and accurate. Your membership may be suspended or terminated if we are unable to collect payment for services.

 

6.5 In the unlikely event of your account falling into arrears, you agree to settle any outstanding payments due in full within 14 days of becoming aware or being notified. Any payments on account or invoices are due within 14 days of being issued.

 

6.6 Refunds are only permitted within 14 days from purchase.


6.7 Only the unused portion of any purchase will be eligible for refund.


 

7 Terminating the Services and Membership

7.1 You may cancel subscriptions to our services at any point, by making such changes within your account or by contacting us.

 

7.2 Some services have a minimum notice period, normally the duration of one subscription period, or which will be defined in the terms for that service. If a valid notice to terminate is not provided, these services will automatically renew until a notice to terminate is provided.

 

7.3 If you cancel all service subscriptions to us, your membership will remain active in case you want to use any services again in the future. Memberships that have not had an active subscription or billing period within the previous 12 months may be closed.

 

7.4 You may terminate your membership at any point by doing so within your account, or by contacting us. Cancelling your membership will terminate any active subscriptions to services, future bookings, and revoke access to locations with immediate effect.

 

7.5 If you fail to comply with any of these terms, the House Rules of the premises, or any reasonable requests from Together Workspace staff, or at any other time when we in our reasonable discretion see fit to do so, we may restrict your account and the services available to you or terminate your subscriptions or membership.

 

7.6 We may decline to renew your subscription to any services at the end of your subscription period or by serving a notice to terminate for any reason or no reason. We reserve the right to refuse service to anyone.

 

7.7 You will remain liable for past due amounts, and we may exercise our rights to collect due payment, despite termination or expiration of your membership.


 

8 Limitations of Liability

8.1 Please keep your personal belongings safe, secure and with you at all times. We cannot be held responsible for loss, damage, theft or misplacement of any property brought to a location. You should make your own arrangements to ensure your property, personal belongings and any other liabilities are covered through your own insurance. We are not responsible for any property you bring to, or leave behind in, any of our premises. It is your responsibility to ensure that you have retrieved all of your personal items prior to leaving.

 

8.2 We make no guarantees that the space or services provided will be suitable for you, your needs, or the purpose for which you intend to use it. All reservations and subscriptions are subject to availability at the applicable premises. We cannot guarantee that a premises will have space or services available at all times.

 

8.3 Together Workspace is a shared office space, we are not responsible for the actions of other users. You accept that you may be working in close proximity to other individuals or organisations, some of whom may compete with your business. It is your responsibility to ensure that any obligations you have regarding confidentiality and privacy are adhered to.

 

8.4 Due to the shared nature of the space, sensitive information may sometimes be seen or overheard, and you agree to respect the rights of privacy and confidentiality of other members in such circumstances. You must not directly or indirectly take, copy or use any information or intellectual property belonging to other members or member companies or any of their guests, including but not limited to personal names, likenesses, voices, business names, trademarks, service marks, logos, trade dress, other identifiers or other intellectual property, or modified or altered versions of the same.

 

8.5 Occasionally circumstances may occur that are outside of our control. This includes but is not limited to service interruption, power outages, internet downtime, accidents, strikes, war, fire, or failure in manufacture, production, or supply by third parties of equipment or services. Such events may prevent us from providing you with access to the space or providing services in whole or in part. In the event of such instances, you agree not to hold Together Workspace liable.

 

8.6 To the extent permitted by law, you waive any and all claims and rights against us and our employees resulting from injury or damage to, or destruction, theft, or loss of, any property, data, or persons and release Together Workspace Ltd including our employees, staff, agents, and any other party working for or on behalf of Together Workspace from any such claims. In no way will Together Workspace Ltd be liable under any cause of action, for any indirect, special, incidental, consequential, reliance or punitive damages, including loss of profits or business interruption, or for the cost of any substitute goods, services or technology.


 

9 Illegal or Immoral Purposes, Disruption or Nuisance

9.1 You must not use any location, services, technology, internet access, equipment, or materials provided by Together Workspace for any illegal or immoral purposes.

 

9.2 Each premises has its own House Rules governing expected behaviour in Together Workspace locations. You must comply with the House Rules while using the services in our premises. House Rules may be revised from time to time. In general, we expect that you will not perform any activity that is reasonably likely to be disruptive, a nuisance, illegal, damaging or dangerous to us, our employees or agents, other members, any guests or any other third parties or property of any of the foregoing.

 

9.3 You must not bring in any living creature nor any hazardous, dangerous or illegal materials, or do anything which would or might invalidate any insurance at the property.


 

10 Damages

10.1 You shall not do anything to damage any property. You agree to keep the space clean and tidy, and to treat and use with due care and respect any space, equipment, furniture and items provided by Together Workspace.

 

10.2 You may be responsible for and agree to pay for any damage caused to property including but not limited to the building, space, all contents, furniture, fixtures, fittings, appliances, and any other objects or materials owned by or belonging to Together Workspace or other members, guests or visitors, as a result of your behaviour, actions or inactions (wilful or negligent), or those of your invitees or guests. You agree to pay the company on demand to make good or remedy any such damages.

 

10.3 No items are to be affixed to walls, floors or ceilings, or any part of any location without prior written consent.


 

11 Fair Use

11.1 We provide our services, technology and spaces on a fair use basis. We may also provide additional services or benefits complimentary on a fair use basis. We may limit or restrict your access to any services and benefits whether paid or complimentary if your usage is deemed excessive. We may remove any services or benefits at any time, for any reason or no reason, at our discretion.

 

11.2 Using the space or any of the services provided for any resource heavy or intensive purposes are strictly prohibited. This includes but is not limited to running software, scripts, programs or equipment that may use a large amount of electricity, internet data, or water.


 

12 GDPR and Privacy Policy

12.1 We collect a range of information necessary to provide you with our products and services. We do not transfer or otherwise disclose any information you provide to us with third parties, with the exception of our service providers in order to provide our products and services. Where information has to be shared with a third party, we will only provide the minimum amount of data required. 13 Changes to our Services or these Terms

13.1 We may change the services, the scope or availability of any benefits at any time. We may change these Terms and Conditions at any time. Continued use of the service constitutes acceptance of any changes and you agree to be bound by the updated terms. Most changes will be effective immediately, except pricing and fees which will be effective upon your next subscription period. If you do not agree with any changes to these terms, you may cancel your membership.


 

14 Meeting Room Terms & Conditions

14.1 All bookings will be treated as provisional until confirmation of acceptance is received from Together Workspace. Full payment is due a minimum of 1 days before the hire. You must only use the rooms which are specified and pre-booked in the hire agreement.

 

14.2 To ensure meeting rooms are available for all users and to prevent unnecessary overbooking, please advise of any cancellations or changes in writing. Rescheduling of reservations are permitted up to 7 days before the hire, otherwise cancellation charges will apply.

 

14.3 Cancellation Charges

Notice period before first day of hire:

More than 7 days - cancellation cost as percentage of total booking: 0%

Less than 7 days - cancellation cost as percentage of total booking: 50%

Less than 1 day - cancellation cost as percentage of total booking: 100%

 

14.4 You shall not sub-hire or sublet the room to any other party. Reservations made on behalf of a third party must be declared at the time of application or booking. Third parties making bookings are responsible for the payment of all hire charges, fees, and indemnifications.

 

14.5 All meeting rooms have a maximum occupancy. The hirer must not permit more than the maximum number of people specified to be in any meeting room at any time.

 

14.6 Please vacate the premises by the end of the pre-booked time period, leaving the meeting room in a clean and tidy condition. Extensions to the hire period must be agreed in advance.

 

14.7 Together Workspace reserves the right to charge the hirer for the additional use of the premises and facilities should the hirer, their staff, guests or visitors fail to vacate by the specified time or use rooms, equipment or services not covered by their booking. Additional charges will be based on (a) additional rental of the room; (b) use of services, equipment or facilities not covered by the agreement; and (c) any payments made or subsequent loss of business incurred by us if as a result we are subsequently unable to honour other bookings.

 

14.8 The hirer must indemnify the owners against any loss, thefts or damage however caused, during or in respect of the period of hire.


 

15 Serviced Office Terms & Conditions

15.1 Subscription to a Serviced Office does not create a tenancy, but a prepaid usage license to use the provided services. No relationship of landlord and tenant is created between Together Workspace and you.

 

15.2 Together Workspace retains control, possession and management of the office space at all times. Together Workspace may enter the office at any time and for any purpose, and you shall not exclude or deny any such access.

 

15.3 All subscription payments are due monthly in advance.

 

15.4 Prior to the start date, the total first payment must include the first subscription fee, the required security deposit, set up fees and any other sums which may be payable, together with any applicable VAT.

 

15.5 The deposit will be equal to 2 months subscription fee. In the event of an increase in subscription fee, a payment must be made to increase the deposit so that the deposit retained is not less than twice the monthly fee.

 

15.6 You may cancel your Serviced Office subscription at any time by giving a minimum of 30 days notice, by providing us with a notice to terminate, making such changes within your account or by contacting us.

 

15.7 Either party may terminate the service by providing the required notice period. Together Workspace reserves the right to immediately terminate a service or subscription.

 

15.8 Together Workspace may withdraw an amount from the deposit in order to pay any claims, demands, damages, losses, costs or other expenses arising out of, or incidental to, the enforcement of this agreement, or your use of the services.

 

15.9 At the end of the license period, you must leave the space in a tidy and clean condition with all furniture, goods and equipment owned by you removed on or before the end of the license period (including in the case of any early termination). Together Workspace will be entitled to withdraw from the deposit such proportion of the funds required to return the space to the condition it was prior to the subscription commencing, including but not limited to repairing any defects, losses, damage or any other costs as required to make good the space.

 

15.10 The deposit (minus any withdrawals as described in clauses 15.8 and 15.9) will be returned within 30 days of the termination date.

 

15.11 You must not make any alterations to the space, or install any equipment, machinery, cabling, furniture, IT or telecoms without prior written approval from Together Workspace. No items are to be affixed to walls, floors or ceilings, or any part of any location without prior written consent.

 

15.12 Except where a continuation of mail and call forwarding has been agreed in advance, any postal mail or telephone calls received after expiry or termination of the contract will not be handled. Postal mail will be returned to the sender and telephone calls will not be forwarded.


 

16 Virtual Office Terms & Conditions

16.1 The features of your Virtual Office will depend on the services you have purchased. Availability may vary by premises or location. You may use the chosen location as your business trading address, not your Company Registered Address.

 

16.2 Mail Handling

16.2.1 Incoming mail will be handled as per your instruction during sign up, usually either designated for collection or forwarding. Mail collection varies by location, please collect your mail regularly from the collection point. For accounts with mail forwarding, all mail delivered to you at the Virtual Office address will be forwarded to the address provided by you at the time of sign up. If you need to change the number calls are forwarded to, please contact us or speak to a member of the team.

 

16.2.2 In the event that the recipient of mail received is not identifiable from the outside packaging, we reserve the right to open such mail to determine the intended recipient. We reserve the right to inspect any items before collection or forwarding, this includes opening any items that may be suspected of containing harmful, dangerous or illegal objects or substances, or where it is our belief that our services are or have been used for criminal or fraudulent purposes.

 

16.2.3 We strongly discourage the delivery of parcels at our locations. We cannot accept responsibility for parcels that fail to be delivered due to a member of the team not being available to accept delivery. We will not accept any items that contain any harmful, dangerous, live, or perishable goods.

 

16.2.4 No vehicles should be registered at the address. Mail received from the DVLA will be returned to sender.

 

16.3 Call Forwarding

16.3.1 Incoming calls will be handled as per your instruction, and forwarded on to the number provided during sign up. If you need to change the number calls are forwarded to, please contact us or speak to a member of the team.

 

16.4 Fair Use, Cancellation or Termination of Services

16.4.1 You may cancel your Virtual Office subscription at any time by giving a minimum of 30 days notice, by providing us with a notice to terminate, making such changes within your account or by contacting us. Either party may terminate the service by providing the required notice period. Together Workspace reserves the right to immediately terminate a service or subscription.

 

16.4.2 Any postal mail or telephone calls received after expiry or termination of the contract will not be handled. Postal mail will be returned to the sender and telephone calls will not be forwarded.

 

16.4.3 The Virtual Office service is based on a fair usage policy. We reserve the right to suspend or terminate services where usage is considered excessive. If at any time we deem your usage to be excessive, we will contact you to establish a reasonable usage charge that will permit you to continue using the Virtual Office services. If we are unable to contact you or establish a reasonable usage charge, your subscription to the Virtual Office services may be terminated.


 

17 Internet Access Terms & Conditions

17.1 Complimentary WiFi is available to all members of Together Workspace, included as part of a subscription to our services. Additionally, in certain locations, private WiFi or Network Access Points may be available for an additional charge.

 

17.2 Users should adopt appropriate security measures when using internet access. You understand that internet access in shared environments is inherently insecure and that you take full responsibility for your online safety and security. You should ensure that you are running up to date firewall and antivirus software on your devices.

 

17.3 Use of this service is at your own risk. We have no control over the information obtained through the internet and cannot be held responsible for its content or accuracy. We are not liable for any damage, undesired resource usage, or detrimental effects that may occur to a user's device through use of the internet including but not limited to viruses, worms, trojans, hacking, or any other malicious software or script.

 

17.4 You must not do anything that will compromise the operation, security, speed or availability of the network, including but not limited to downloading excessively large files, overloading the network with traffic, creating or running programs designed to identify security loopholes, decrypt secured data, or gain unauthorised access to any files, system, device or network.

 

17.5 We reserve the right to block, remove, filter, or restrict access to any material that is or may be illegal, inappropriate, immoral or offensive.

 

17.6 Internet access may only be used for lawful purposes and in good faith. You must not access any material that is or may be illegal, inappropriate, immoral or offensive, or likely to cause harm. You shall not use the service in any way that would violate any law, infringe any copyright, trademark, privacy, or be disruptive, a nuisance, illegal, damaging or dangerous. Downloading or sharing copyrighted materials and the use of peer to peer networks is strictly prohibited.


 

 

House Rules

 

  • All users must sign in and out as required.

  • Please make note of the opening hours which are [Monday to Friday, 08:00 - 18:00]. Opening hours may vary by location and are subject to bank and public holidays. Coworking members are only authorised to be on site between those hours.

  • Please ensure that you sign in and out all guests. Guests are not permitted to sit in a workstation position unless a pass has been purchased.

  • If something is broken, needs fixing or replacing, please report any issues to a member of the team.

  • Personal belongings are your responsibility. Please keep your personal belongings with you at all times, and make sure that you have suitable equipment, personal property, and professional liability insurance. We cannot be held responsible for any loss, damage or theft.

  • Please report any instances of damage, theft or loss to a member of the team.

  • Please do not obstruct any entrances, exits or aisles.

  • Please help keep the space clean and tidy. We kindly ask everyone to take steps to remove and dispose of litter from your work area, and to utilise the bins and dishwashers provided.

  • Please use headphones if you want to watch or listen to something, at a level which is unnoticeable to other users. Please use the private booths for phone/video calls which may otherwise cause disturbance to other users.

  • Booths and collaboration spaces are free to use on a fair usage policy. Please take a note of the time limit stated in each area.

  • No photography, video or audio recording is allowed inside the premises without prior written permission of Together Workspace Ltd.

  • CCTV is in operation for your safety and security.
